Bed bugs in guest accommodation: handling a room report

A guest's report deserves prompt, discreet attention, but a complaint about bites is not a confirmed identification. The aim is to gather evidence, protect belongings and arrange a competent inspection.

Control the information flow

Record the room, date and signs described. Keep photographs and the housekeeping report together. Avoid moving bedding, furniture or cleaning equipment between rooms without an agreed handling plan.

Plan access and communication

Arrange inspection of the affected room and ask whether nearby rooms need checks based on findings. Give staff clear instructions for laundry and equipment. Explain practical next steps to guests without promising an outcome before assessment. A documented response helps accommodation teams act consistently and learn from the findings rather than relying on informal reassurance.

Give housekeeping a clear reporting route

Staff should know who receives a suspected insect photograph and whether the room can be cleaned before inspection. Avoid informal instructions passed between shifts. Consistent reporting preserves useful evidence and helps a manager coordinate the pest visit with room availability and guest communication.
