Pest concerns in a workplace: setting up a staff sighting log

A workplace can lose useful pest information when reports stay in informal conversations. A short sighting log helps the responsible manager and contractor compare observations across shifts.

Keep entries factual

Record the date, time, precise location and what was seen. Include a photograph where safe and explain whether the report concerns a live animal, insect, noise or damaged packaging. Do not ask staff to handle pests to obtain evidence.

Use the log in follow-up

Give staff one reporting contact and check that urgent concerns reach the manager promptly. Compare new entries with the contractor's findings and maintenance actions. A consistent log helps inspections focus on recurring locations while avoiding assumptions that several reports always represent several different animals or separate infestations.

Use consistent location names

A shared workplace may have several rooms called the store or back kitchen. Give areas clear labels on a simple plan. Consistent names help the technician connect reports to the same physical point and make comparisons across shifts without confusing separate locations.
