Include the practical details
Provide the address, tenant contact arrangements, rooms affected and dates of sightings. Add photographs where available and list previous visits or products used. Mention pets, children and any difficulties gaining access.
Define reporting and repairs
Explain who receives the findings and who can authorise additional work. Ask for a distinction between pest treatment, recommended proofing and building repairs. A clear brief helps the agent organise the right follow-up and gives tenants consistent information about what has been found and what will happen next.
Send previous visit information
If another contractor has attended, provide dates, findings and completed repairs where available. A new technician benefits from that history without needing assumptions about earlier work. It helps distinguish unresolved recommendations from a new issue and avoids asking the tenant to reconstruct the entire history from memory.
