Separate findings from actions
Record the observed activity and relevant locations, then list treatment, cleaning and maintenance recommendations distinctly. Ask for clarification where a suspected route has not been confirmed. Keep site plans and visit reports together.
Assign follow-up responsibility
Decide who arranges each repair and how completion will be recorded. Give staff a clear route for new sightings and retain any preparation or aftercare instructions. Review outstanding actions at the next visit rather than assuming that a written recommendation has automatically been carried out.
Review the unresolved items
If an action remains open at the next visit, record the reason and a realistic next step. Access, budget and contractor availability may need coordination. A report is most useful when it shows which recommendations were completed, which remain outstanding and what information is still uncertain.
